Conference Room Booking Procedures - Chipman
Room (6-104), 16-602, 13-5002, 13-4106
These rooms
are available to all DMSE faculty members, DMSE support and research
staff, Student Services staff, ASO staff, DMSE students, and DMSE-related
research groups for meetings, thesis defenses, and seminars. The
rooms' use policies and available equipment are outlined below; please review carefully and make reservations
according to the following procedures. Extreme and/or consistent
failure to abide by these policies will be brought to the attention
of the Department Head and may result in the denial of use of
the conference rooms.
Please note:
- Set-up and clean-up is the sole responsibility
of the individuals and groups using the rooms and should be factored
into the reservation period; the clean-up, along with returning
furniture, blinds, etc., to their original arrangement, must be
done immediately following the event.
- Any event running long and
inconveniencing another group will be interrupted.
- It is the responsibility of the group or individual
making the reservation to arrange for the drop-off and
pick-up of any required AV equipment or food and catering
equipment.
- Users are asked to clean up any food waste, either by requesting custodial service or bagging waste and placing it in the hallway for pickup.
All rooms are available from 9 a.m. to 5 p.m., Monday through
Friday, excluding holidays. Any use of the rooms outside of these
hours must be specially arranged, on a case-by-case basis, by
a DMSE faculty member who will take responsibility for obtaining
and returning a key and locking the room. If a reservation is
no longer needed, please cancel as early as possible so that others
may use the room. When the Chipman
Room and 13-5002 are not in use, students are welcome to use them
as a study space. The Department is not responsible for any personal
items left, lost, or stolen in the conference rooms.

DMSE Headquarters at x3-3300 to reserve this room or use the request form (see link at left).
The Chipman Room is available for non-repeating events
such as thesis defenses and seminars. Only Departmental
Committees are permitted to book the room for weekly
or bi-weekly meetings or other events: the room
is not to be used for weekly Research Group meetings
or for classes. The Department reserves the right to
cancel any reservation up until one day prior to the
event if a Departmental need arises. The room contains
a projection system and a whiteboard. Both a slide projector
and an overhead projector are available in DMSE headquarters.
The ordinary hours for the Chipman Room are 9:00 a.m.
to 5 p.m. Outside of these hours the room is typically
locked for security purposes. If you need to use the
room earlier in the morning please come to 6-113 to pick up a copy of the key the day before.
If you will be using the room later in the evening,
it is your responsibility to make sure that the room
is locked at the end of your event.
DMSE HQ has
an additional conference room which may also be
reserved. It is located in 6-103. |

The room is kept locked when not in use; a keycode will be provided when the room is reserved.
16-602 is available for thesis defenses, seminars, meetings,
and classes; it may not be used for events at which
food or drink of any kind will be served. If the room
is needed for a class, please book it by add date of
the previous semester. Reservations for other repeating
events will only be taken through the end of the current
academic segment (fall semester, IAP, spring semester,
summer session). The Department reserves the right to
cancel any reservation up until one day prior to the
event if a Departmental need arises.
The room contains a projection screen and an overhead
projector, as well as a VCR/TV cart, blackboards, and
several net drops. It is the responsibility of the group
or individual making the reservation to arrange for
the drop-off and pick-up of any required AV equipment.
Users of this room are reminded to clean up after the event. It is not fair, nor should it be expected, that others will clean up after an event. |

The
13-4106 Conference Room and Journal Library are available
for use by DMSE Faculty, Staff and Students for meetings.
Sign-up sheet is posted outside the door, simply write
in name and times of use on the monthly calendar.
Please be responsible in your use of this conference
room! We do not want to restrict the use of the room
out of necessity by keeping it locked. If you make a
mess, clean up. If you borrow a journal, return it!
Do not leave journals or theses lying on the table or
blocking ventilation under the windows—re-shelve
them! Courtesy is appreciated by all. |
